Setting up multiple coding stations in Observer XT with shared project files on OneDrive
Last updated: Nov 01, 2026
Problem
Labs with multiple full and coder licenses are unsure how to configure multiple coding stations when project files and videos are stored on OneDrive, and documentation does not clearly cover this workflow.
Details
Affects Observer XT 17 and similar versions in multi-user lab environments. Observer XT links to video files via Windows file paths. Accessing project files directly from OneDrive without local sync can cause broken file paths, missing videos, or overwritten work if multiple coders access files simultaneously.
Solution
1. Observer XT links to video files via Windows file paths. For reliable coding, always work from local copies of both project files and videos — do not open files directly from OneDrive's online-only mode.
2. On each coder computer, ensure videos are fully downloaded/synced to the local drive (in OneDrive settings, set the folder to 'Always keep on this device').
3. Before starting a coding session, download the project folder from OneDrive to a local directory.
4. Code your observations locally, then re-upload the updated project folder to OneDrive when the session is complete.
5. Never have two coders access the same project files simultaneously from OneDrive — this risks one coder's work being overwritten by another.
6. The lead coder who merges files should download all individual coder project folders locally before combining them, then re-upload the merged master file.
7. For the video file path to work consistently across machines, keep the local folder structure identical on each coder computer (e.g., same drive letter and folder path).
