Change Work Week and Working Day
Aim
To select other than the default work week and working hours in the Scheduler. The default work week is from Monday to Friday. The default working hours are from 7 AM to 7 PM.
Prerequisite
You have the Scheduler Module.
Procedure
- Log in with the Setup account.
- Choose Settings > Scheduler, or click the menu button and choose Settings > Scheduler.
- Adjust the settings.
Notes
- Hours outside the work week and working hours are displayed in gray in the Scheduler. You can still schedule sessions in these time periods.
- The time format in the Scheduler is according to the computer's regional settings.
To Change the Time Format
- Type Date in the Apps window and choose Date & Time Settings.
- Click Additional Date, Time & Regional Settings in the upper-right corner of the window.
- Under Region, choose Change Date, Time, or Number Formats.
- Select a region from the Format list and click OK.
- Restart Viso Viewer.
Enable Logging of Activities in an Audit Log
Aim
To enable logging of activities in an audit log. The following actions are automatically logged:
- Location Opened — This action is logged when, for instance, a Trainer opens a location to start a recording.
- Location Right Granted (To Whom/What Group/Department and By Whom) — Location access rights are granted when, for instance, a Technician defines a new location. He/she automatically gets the right to access the location. Trainees can get access rights from, for instance, a Trainer when he/she invites the Trainee to view a location while session recording is ongoing.
- Location Right Revoked (From Whom/What Group/Department and By Whom) — Location access rights are revoked when, for instance, a Technician deletes a location.
- Appointment Right Granted (To Whom and By Whom) — Appointment access rights are granted when, for instance, a Trainer schedules an appointment and invites a Trainee to view the location while session recording is ongoing.
- Appointment Right Revoked (From Whom and By Whom) — Appointment access rights are revoked when, for instance, a Trainer edits a session in the Scheduler and deselects the name of a user he/she had invited.
- Appointment Renamed — This action is logged when, for instance, a Trainer changes the name of a planned session in the Scheduler.
- Session Opened (By Whom) — Every session open action is logged with the name of the user who opened the session.
- Session Right Granted (To Whom and By Whom) — Session access rights are granted when, for instance, a Trainer records a session. He/she automatically gets the right to access the session. Trainees can get access rights from, for instance, a Trainer when he/she invites the Trainee to view a session.
- Session Right Revoked (From Whom and By Whom) — Session access rights are revoked when, for instance, a Trainer withdraws an invitation to view a session.
- Session Renamed — This action is logged when, for instance, a Trainer changes the name of a session.
- Session Ownership Transferred (By Whom, From Whom and To Whom) — This action is logged when, for instance, a Trainer changes the owner of a recorded session and makes a colleague the new owner.
- Session Annotator Right Transferred (By Whom, From Whom and To Whom) — This action is logged when, for instance, a Trainer makes a Trainee the annotator of a recorded session.
- Video Created — This action is logged when a session has been recorded and one or more videos have been created.
- Video Removed — This action is logged when a session is deleted.
- Video Exported — This action is logged when, for instance, a Trainer copies the videos from a session.
- Group/Department Created (By Whom) — This action is logged when, for instance, a Trainer adds a group or a Technician adds a department.
- Group/Department Removed (By Whom) — This action is logged when, for instance, a Trainer removes a group or a Technician removes a department.
- User Added to Group/Department (By Whom) — This action is logged when, for instance, a Trainer adds a Trainee to a group or a Technician adds a Trainer to a department.
- User Removed from Group/Department (By Whom) — This action is logged when, for instance, the Administrator of a department removes a Trainee upon completion of a course, or a Trainer removes a Trainee from a group.
- Audit Log Enabled/Disabled — Audit logging can be turned on or off by the Setup account.
To comply with GDPR (General Data Protection Regulation) or HIPAA (Health Insurance Portability and Accountability Act), the audit trail is saved for a defined period. You can specify how long you want to keep the data.
Procedure
- Log in with the Setup account.
- Choose Settings > Audit Log, or click the menu button and choose Settings > Audit Log.
- Select Enable Audit Log and choose whether you want unlimited access to the audit log or set a retention period in days (for GDPR) or years (for HIPAA), then adjust the number of days or years accordingly.
Change the Password Policy
Aim
To force users to use strong passwords to increase the security of their Viso account.
Procedure
- Log in with the Setup account or as a Technician.
- From the menu select Settings and then Password Policy.
- Define the minimum password length — specify how many characters passwords must have at a minimum.
- Enable the advanced password policy options as required:
- Require at least one uppercase letter.
- Require at least one lowercase letter.
- Require at least one number.
- Require at least one special symbol character.
- Password will expire — specify after how many days passwords will expire. Accepted values: 30–365.
